AQA is the largest exam board in England, Wales, and Northern Ireland, offering a wide range of courses and events for the education sector. However, the existing course booking process proved inefficient, as users were required to navigate away from the main website to a third-party learning management system with a separate login. This fragmented experience created unnecessary friction for customers, increased demand on customer service teams, and ultimately raised operational costs while limiting the time available to support teachers and exams officers.

We enhanced the customer experience by developing a bespoke events management system, fully integrated with AQA’s website and aligned with the existing embedded login experience.

Where they began

For years, booking a course through AQA’s website was a cumbersome experience. It redirected users to a third-party events and learning management system, with a separate login. The result? A frustrating customer journey, a swamped customer services team, higher costs for AQA, and less time to support teachers and exams officers.

Paying for a third-party “off-the-shelf” solution while not using its full functionality proved both costly and frustrating.

So, before us were two challenges: reduce the total cost of ownership for running courses and events while improving the AQA customer experience.

Where they are today

To elevate the customer experience, we developed a bespoke events management system, fully integrated with AQA’s website and built around the existing embedded login experience.

Working closely with AQA, we gathered requirements and, within six months, created the system’s first iteration, delivering significantly more than an MVP.

It let customers book and cancel courses, view their bookings in their accounts, and access courses in a range of formats, including face-to-face, live online, and recorded sessions, as well as online learning modules.

The system also enabled those without an AQAID (an accredited education professional login) to access certain courses in a controlled way, opening AQA up to an even wider audience.
